COMPULSORY TERMS AND CONDITIONS
- The above fee includes a hardbound book of abstracts, lunches, coffee break and a banquet dinner.
- An additional banquet dinner ticket is $50. Cost for an additional book of abstracts is $50.
- Please observe the relevant registration deadlines. Registration fees depend on the date your payment is received and will be adjusted accordingly if the payment is not received by the relevant deadline. This registration will be accepted only after full payment confirmed.
- Please kindly be informed that the reimbursement will be done by pay online or bank transfer after the conference ended within 30 working days.
Service confirmation emails
- Within 120 minutes from your successful registration, you will receive a service confirmation letter (to the email address you provided) from the online registration system to state that your registration is successful (although the registration fee has not arrived the conference account yet). We are not responsible in case you do not receive the confirmation email due to incorrect email address provided. Please double-check this information before making your payment.
- If you have any questions and complaints about the details in the service confirmation email, please send an email to email@example.com as soon as possible. We only accept grievances sent by emails. After 120 minutes from your successful payment, if we do not receive any emails from you, it is considered that our all responsibilities are completed. We do not accept any complaints or grievances after the above period.
- We do not support and will not be responsible in case we have sent a confirmation code to your email address, but for some reasons, you do not show up at the event. The email for confirmation code may go into your inbox or spam, please kindly check your inbox or spam before contacting us.
- We will send a confirmation email to customers right after we received full payment (i.e., the registration fee is successfully transferred into the conference account). Customers are required to inform to the Secretariat if they do not receive confirmation email from the Secretariat within 5 days from the date of successful registration. We are not responsible for any delay/loss caused by receiving late notification information from customers.
Terms for group registration and discount
- The group registration will get 25 % discount only for online application if this group belongs to one type of registrants, and completes payment for 4 members or more.
- In case registrants are not in the same group, they will not get 25 % discount for online registration.
- In all cases, registrants will not get 25 % discount when transferring money if they apply more than one method of payment.
- Vietnamese student is required to submit his/her student ID card or a letter from his/her supervisor to prove his/her student status.
- Registration fee will be free for 100 young scientists of accepted papers who were born after Nov 28th, 1984 . The list will be released after getting approved by the Organizing Committee.

The cancellation policies
- If the cancellation occurs within 2 months before the conference date, the cancellation fee will be 50% of the total cost.
- If the cancellation occurs within 01 month before the conference date, the cancellation fee will be 70% of the total cost.
- If the cancellation occurs after November 15, 2019, the cancellation fee will be 100% of the total cost.
Please be noted that all cancellations must officially be sent to the Secretariat via email: email@example.com. After receiving a cancellation confirmed email for participating in GEOTEC HANOI 2019 conference, the Secretariat will check again and refund for customers as the above policies.
Please note that registers are responsible for service fee that may be incurred. Upon receipt of your transfer on our account your registration will be finalised and a confirmation e-mail will be sent to you. If the amount transferred to the GEOTEC HANOI 2019 account does not correspond to the amount stated on the registration form, your registration will be regarded as incomplete.
Terms for privacy
The Secretariat has the right to disclose the personal information of customers to partners of the Organising Committee (inside and outside Vietnam), including employees of the Organising Committee, trusted representatives of the Organizers (if any), for those whose need to know / involve (if any). They have the right to access this information to perform the service (including customer service and internal investigation (audit / compliance) and for the benefit of customers.

PAY ONLINE REVIEW
In case of force majeure, such as a war, strike, riot, crime (like terror actions), fire, hurricane, flooding, earthquake, volcanic eruption, sudden epidemics, etc.), the event will be cancelled. The registration fee will not be refunded. The organizer is not liable for any direct or indirect damages, which arise registered participants due to cancellation of the event.
